Feature

A clear arrival process, from event pass to badge.

Give the registration desk a clear view of who is expected and who has arrived. Scan an event admission pass or use authorized attendee lookup, then record check-in against the same event registration.

01

Tools at the door

Included in every edition.

  • Event admission passes checked against the selected event
  • Browser-based scanning with a camera or compatible connected QR reader
  • Authorized name lookup for anyone without their pass
  • A live record of who has arrived and who is still expected

02

A workable event-day flow

Before doors, resolve registrations that need review and prepare the desk. Scan a valid admission pass or use authorized lookup, check the result and hand over the attendee's badge. Through the day, the team checks recorded arrivals against expectations instead of counting heads by hand.

  • Resolve pending registrations the day before
  • Brief desk staff on name search for forgotten badges
  • Keep one person watching expected-but-not-arrived

03

Self-service check-in and printing pilot

A configured self-service station can pair check-in with badge printing through PrintNode. Staff access is PIN-protected, and the station pauses when access or connectivity needs review. Equipment, stock, saved design and printer setup must be agreed and tested for the event; this is a pilot, not a promise of support for every printer. Re-scanning an already checked-in pass does not automatically issue another badge.

04

Limits to plan around

Browser-based QR check-in and name lookup require connectivity; offline check-in is not promised. Before doors, test venue connectivity, scanner or camera access and the devices your desk staff will use. Keep a securely handled expected list and a manual arrival log for outages, then reconcile entries after service returns. The native Android and iOS app is coming soon.

05

Across editions

Core attendee check-in is included across editions. See the pricing page for current attendee allowances and terms. Badge equipment and services have their own setup and availability; discuss your event requirements before relying on a printing station.

Questions organizers ask

+Do I need dedicated scanners?

A compatible device camera can scan admission passes; a connected QR reader is another option for a desk or kiosk. Test the selected device, browser and input method at the venue before doors. Badge printing requires its own configured printer.

+Is the admission pass the same as the QR code printed on a badge?

Do not assume they are interchangeable. Admission passes are used to validate event entry. A printed badge may carry a participant profile code used by authorized session or partner workflows. Use the pass requested by the check-in station and test your chosen badge design separately.

+What happens if Wi-Fi drops?

Plan a fallback. Gathersmith does not promise offline check-in, so keep a printed expected list as a backup.

See the edition comparison for current inclusions, limits and terms to confirm before purchase. The Gathersmith native app is coming soon for Android and iOS. SSO and service-level guarantees are not offered.
