Understand Gathersmith and find the right help

Learn what the platform does, try the demo, and find help for your event.

Before you begin

Understand the platform

Gathersmith connects the people, partners, plans and event-day work needed to run conferences and expos. Each organizer manages its own events and workspaces. Shared schedules, responsibilities and updates help teams work from one plan; visible sponsor benefits and exhibitor requirements support follow-through; connected confirmed registrations, badges and check-in help teams prepare for arrivals. The homepage illustrates connected planning, program, event website, registration/check-in, floorplan and follow-up workflows, with additional coverage of agencies, mobile, engagement, budgeting and integrations. Its example product views use fictional data and are illustrations, not workspace controls. Open View the demo for the interactive sandbox or Find your edition for current pricing and the edition-fit guide. Signed-in visitors retain workspace access. Public-event browsing remains available further down the homepage. Coming-soon and pilot labels remain distinct from available features.

Explore your event audience

Open Resources to find pages for professional associations, business and community expos, church and faith conferences, and music festivals. Each connects common planning needs to relevant Gathersmith workflows, with links to the demo, editions and related tools. The homepage Organizing for links and default footer Solutions group also lead to these pages.

Explore the tools and their benefits

Use the homepage's feature highlights or See all features link to open the public Features page at /features. Core registration, planning, program and partner tools appear before attendee-engagement pilots. Readiness labels distinguish available software from pilots and upcoming services. Explore integrations opens /features#integrations for Zapier, Pabbly Connect, HubSpot, Google Sheets, calendar options, marketing connections and optional MCP access. Compare editions at /pricing shows edition cards, shared inclusions and a short comparison of the main differences, followed by optional extras. Ticket payments, group registration, partner self-service, consent-based lead capture and standard integrations are included in every edition, within its attendee and partner allowances. Per-event sponsor/exhibitor organization allowances are up to 5/15 on Lite, 15/50 on Conference, 50/150 on Conference & Expo and unlimited/unlimited on Enterprise Annual. Parallel-track allowances are up to 5 on Lite, up to 10 on Conference, up to 15 on Conference & Expo and unlimited on Enterprise Annual. Enterprise's up-to-2,000 attendees per event and up-to-5,000 annual attendee admissions remain separate from unlimited partner organization and track counts. The Features page describes platform capabilities rather than promising inclusion of every tool in every edition. Optional store, Full budgeting and MCP allocation terms remain separate. Public service summaries link to setup help; operating guides and account-specific records still require their existing access permissions.

Get help choosing an edition

Open Compare editions at /pricing and use the compact edition-fit wizard. Move through Your events, Size and program, Partners, and Priorities with Back and Next, or select a numbered step directly. Your answers are preserved between steps. Your events includes event count, attendance and the required measured-floor choice, plus whether multiple events have similar requirements. Size and program holds days, tracks and total annual admissions for a series; the annual range stays consistent with your event count and largest event. Partners holds sponsor and exhibitor counts. Priorities is optional. Sliders, quick estimates and plus/minus buttons allow precise adjustment without typing. The visible answers-so-far summary updates with every edit, even before required choices are complete. Unanswered choices remain marked Not answered rather than assumed. Once required choices are complete, the recommendation updates immediately as you adjust answers; narrow screens stack the controls and result. Missing-answer buttons open the relevant step. The suggested edition, terms and caveats remain visible; expand Full reasoning for all reasons, prioritized tools and add-on notes. Demo and comparison links remain available. Reset restores defaults and returns to Your events. Answers stay in the current page and are not sent or saved. Usage analytics may record calculator starts and resets, but not your answers or inferred recommendation. This is guidance based on the working package model, not a quote, purchase or guarantee; requirements outside the published scope need discussion.

Understand operating terms, hosting and optional costs

Use the pricing page for current prices, attendee allowances, event operating terms, subsequent hosting and optional costs. Hosting begins after the operating term; an annual admissions pool is separate from the allowance for an individual event. Optional store, Full budgeting, additional admissions, custom domains and services have their own published or quoted terms. Payment-provider processing fees remain separate from Gathersmith charges. Existing purchased terms remain unchanged; use the customer's accepted terms when reviewing an existing event.

Read readiness separately from edition inclusion

The edition comparison at /pricing is the reference for package inclusions and limits. Available now describes a customer feature, not inclusion in every edition. Feature pages link back to the comparison when inclusion needs confirmation. Attendee ticket payments are available through the organizer's connected Stripe account after Stripe setup. Digital displays and event signage services are available now; the native mobile app and optional badge equipment services are coming soon. The public pricing page highlights marketing, CRM, automation, reporting, calendar and optional read-only AI integrations. Detailed payment setup belongs in the relevant administrator tools and guides, not public pricing notices. Every edition includes unlimited team users, separate from attendee allowances. Before purchase, confirm a written scope and total cost, including partner limits, fees, optional services, support, extensions, cancellation/refund terms and retention.

Find attendee engagement and gamification options

The homepage, Features and pricing pages describe attendee engagement and gamification together. Gamification refers to the optional challenge-progress and sponsor/exhibitor discovery activities, alongside feedback, display invitations and moderated photo sharing. Review the pilot labels and current edition availability; these terms do not imply leaderboards, automatic prizes or that every activity is enabled for every event.

Explore without real information

Open View the demo at /demo to choose a fictional example and provide your email. Follow the configured access steps; email-link access sends a one-time link. A Gathersmith account is not required. The private, disposable sandbox lasts 24 hours and can be reset. Use sample information only; demo activity is not a real registration or payment and does not grant admission. The Gathersmith native app is coming soon for Android and iOS. Mobile-browser engagement options are described at /features#engagement; pilot access and edition inclusion must be confirmed for your event.

Find the right help

For tickets, admission, missing passes, refunds or venue questions, contact the team organizing your event using its event help link. For Gathersmith product or service questions, open Contact and choose the relevant request type: event services and setup, badge services, attendee engagement, custom domains, pricing, walkthroughs or account help. Links from those offers select the matching topic and add an editable message; supply your own attendance and timeline. Resources → Services opens an overview of digital signage, guided setup, badges and onsite help, with availability and contextual inquiry links. On smaller screens, View demo or Workspace stays visible beside the menu button. For operating instructions, sign in to the knowledge base. Administrative guides appear only when your account has the required role.
